A cold sales email gets ignored; a short video with the prospect’s own name in it rarely does. But recording one video for every prospect doesn’t scale — and that is exactly the gap this platform closes. It generates a personalized video for every prospect straight from the CRM, and Toobler built it end to end.

Customer and context

The platform is a personalized-video tool for sales and marketing teams, built as a HubSpot-native app. Rather than filming a separate video for each contact, a rep picks a template and the platform merges the prospect’s own details — pulled from their HubSpot record — into a rendered video and an embedded animated preview, ready to send from inside the CRM. Toobler was the engineering partner that built the whole product: the HubSpot app, the web and admin applications, and the core API and rendering pipeline behind them. It runs as a multi-tenant platform, with each customer managing their own branded templates.

The challenge

Turning “personalized video” from a nice idea into something a team can actually run every day is an engineering problem on several fronts:

  • Personalization has to scale. One hand-recorded video per prospect is impossible; the value is in generating them automatically from data the team already holds.
  • It has to live where reps work — inside the CRM. A separate tool gets forgotten; this had to be a HubSpot app, on the contact record, in the rep’s flow.
  • Real CRM data has to become rendered video. Contact and prospect fields have to be pulled from HubSpot and composited into a template, reliably, on every send.
  • Email needs a preview that plays. The “video” in an inbox is really an animated preview that links to a personalized page — so that has to be generated too, per prospect.
  • Multi-tenant and template-driven. Many customer accounts, each with their own templates and branding, all managed centrally.

The solution

A HubSpot-native app. Toobler built the HubSpot app as a card / UI extension: from a contact record, a rep selects a template and generates a personalized video without ever leaving HubSpot.

A template-driven rendering pipeline. Each customer’s video templates — uploaded as asset bundles to cloud storage — are merged with that contact’s data to render a personalized video, plus an embedded animated preview for the email.

A core API and admin. A TypeScript/Node core API drives video creation, template management, user accounts and the HubSpot integration; an admin application manages customers and their templates across the multi-tenant platform.

A web app and personalized landing. A web application for creating and previewing videos, and the personalized landing page a prospect reaches from the email preview.

Built and evolved with the client. Delivered across six milestones through 2022–2023, with continuous client feedback and a growing library of customer templates.
